Who we’re looking for:

We are looking for a Fund Admin & Operations professional to join Faber's team and support the definition, execution, and continuous improvement of our fund administration, compliance, and backoffice processes.

This is an admin and operations role within a VC fund management company, focused on defining, implementing, and executing admin and operational procedures with rigour and attention to detail, while building reliable processes, coordinating execution, ensuring controls, and strengthening operational reliability.

You will work closely with the CFO and external service providers, and interact with the remaining team to ensure all processes are executed accurately, on time, and in line with internal controls, regulatory requirements, LP obligations, and fund documentation.

The ideal candidate will have:

  • Strong orientation towards procedure definition and execution; high rigour, attention to detail, and comfort working across finance, admin, operations, and compliance processes.
  • A degree in Business Administration, Accounting, Finance, Management, or a related field.
  • 2–4 years of experience in operations, fund administration, compliance operations, project/process management, office management, operations consulting, or chief of staff / business operations roles, ideally in an institutional, regulated, or process-driven environment.
  • Ability to coordinate with external service providers, and internal stakeholders.
  • Strong Excel / Google Sheets skills, with comfort using AI tools to improve productivity, documentation, data organisation, process execution, and workflow automation.
  • Full working proficiency in Portuguese and English is required.
  • Strong work ethic, curiosity, integrity, and professional ethics, combined with the willingness to take ownership of fund admin and operations, compliance workflows, and hands-on execution.
  • A proactive, hands-on attitude and willingness to execute recurring operational tasks with discipline and consistency.

What you’ll do:

  • Define, execute, document, and continuously improve core fund administration and operations processes, including recurring reporting calendars, process trackers, capital calls, distributions, investment tracking, ESG reporting, CMVM and depositary reporting, and audit support at both management company and fund level.
  • Execute compliance and legal workflows, including KYC/AML on new investors and startups, all vehicles bookkeeping and registers, and internal controls to ensure compliance with CMVM, LPAs, side letters, and internal rules.
  • Coordinate operationally with the accountant and other external service providers where fund admin and operations require accounting inputs, while accounting review and approval remain with the CFO.
  • Manage office and administrative operations, including supplier management, Faber events, and the execution of procedures defined in internal controls documentation.
