About LvlUp Ventures
LvlUp Ventures is a venture capital firm with a global investment ecosystem supporting founders through investment, programs, events, and resources.
Our ecosystem initiatives connect founders with investors, corporate partners, and industry experts through hands-on workshops, buildathons, pitch competitions, and company-building programs.
The Opportunity
We're looking for a hustler who is organized, resourceful, and gets things done.
You'll help manage the end-to-end operations of our ecosystem events, ensuring registrations are reviewed, approved founders receive invitations, reminders and follow-ups go out on time, and every event runs smoothly from start to finish.
This is a hands-on role for someone who takes ownership, pays attention to detail, and can manage multiple events and deadlines in a fast-moving startup environment.
What You'll Do
1. Event Setup & Registration Management
- Set up event listings, registration pages, and calendars.
- Review founder registrations and verify required sponsor screenshots or other submission requirements.
- Approve eligible participants and request missing information when needed.
- Maintain accurate registration records, guest lists, and attendee status in Airtable and other team tools.
2. Attendee Communications & Calendar Coordination
- Send approval confirmations and calendar invitations to accepted founders.
- Ensure approved participants receive the correct event links and instructions.
- Send day-before reminders with meeting links and preparation requirements.
- Track confirmations and help resolve registration or access issues.
3. Event-Day Operations
- Coordinate event logistics and help ensure everything is ready to run on time.
- Track attendance and identify no-shows.
- For pitch competitions, coordinate judge feedback, record results, and confirm winners.
4. Post-Event Follow-Up
- Send thank-you emails with recordings, slides, resources, and feedback forms.
- Follow up with no-shows and share upcoming event opportunities.
- Collect and organize judge feedback for pitch competition participants.
- Coordinate winner announcements and participation certificates when applicable.
5. Event Recaps & Reporting
- Prepare event recap posts and pitch competition winner announcements for LinkedIn.
- Coordinate event graphics and post-event content.
- Keep event records, attendance data, feedback, and follow-up status organized.
- Help improve workflows and automate repetitive tasks to make event operations more efficient.
6. Special Programs
- Support Power of the Pitch Week and other founder initiatives.
- Verify required founder submissions, including track screenshots and Operating Snapshots.
- Coordinate track assignments, calendar invitations, participation confirmations, and certificates.
Who We're Looking For
- Event & Operations Tools: Familiarity with Airtable, LinkedIn Events, and Luma is strongly preferred. You should be comfortable managing event listings, registration data, attendee approvals, guest lists, and event calendars.
- A hustler: Proactive, dependable, and willing to take ownership without constant supervision.
- Highly organized: Able to manage multiple events, registration lists, deadlines, and communications.
- Detail-oriented: Ensures names, email addresses, event links, approvals, and follow-ups are accurate.
- A strong communicator: Writes clear, professional emails and follows through on outstanding items.
- Tech-savvy: Comfortable learning tools such as Airtable, event platforms, calendar systems, and workflow automation tools.
- Problem-solver: Spots gaps, resolves issues, and looks for ways to improve processes.
Big Plus: Experience working at a startup, venture capital firm, accelerator, or events organization. Familiarity with founder communities, Airtable, event management, or workflow automation is also beneficial.
What You'll Gain
- Hands-on experience operating events within a global venture capital ecosystem.
- Exposure to startup founders, investors, corporate sponsors, and industry experts.
