The Opportunity:
Family Office Advisory, Associate.
The Family Office Advisory (FOA) Associate is a key member of the family office client team, focused on delivering the highest level of service to clients in a fast‐paced and dynamic environment. The Family Office Advisory Associate assists with driving client satisfaction by addressing client needs and goals with best-in-class solutions across lifestyle management, investments support, insurance, legal, tax, and wealth planning. The Family Office Advisory Associate also serves as a liaison to third‐party vendors including insurance brokers, attorneys, tax advisors, security providers, and concierge companies to help drive core projects to completion on behalf of clients.
Principal Responsibilities:
Client Services & Advisory
- Work in tandem with senior team leads including Family Office Specialists (FOS) and Vice President FOAs to advise and execute on key client goals and needs.
- Liaise with legal counsel and tax advisers to implement wealth transfer strategies, tax planning, asset protection, and philanthropic initiatives with focus on high-touch seamless service.
- Deepen relationships with clients and key client contacts including Estate Managers, Chiefs of Staff, Personal Assistants, and Executive Assistants through proactive thinking, best in class service delivery and solutions-oriented approach.
- Lead team members and execute to deliver results on bespoke client requests, including unique or one‐off projects in collaboration with or under the direction of other team members.
- Develop expanded working knowledge of trusts, such as Revocable and Irrevocable Trust Jurisdictions, Grantor Retained Annuity Trusts, Delaware Trusts, Limited Liability Companies, MAS Section 13 U/O/D family tax incentive schemes, gifting, promissory notes, pre- or post‐nuptial agreements etc.
Client Operations
- Complete investment documents including subscription documents, purchase agreements, investor support documentation, and maintain up to date KYC regulatory documentation.
- Oversee new client onboarding and account transfer process.
- Work closely with the Legal and Compliance team to ensure adherence to regulatory/compliance requirements and conduct accurate CDD refresh in a timely manner.
- Manage cash balances and private banking relationships across all accounts, process ad hoc money movements requests and work together with Financial Advisors (FA)/FOS/Client Operations team to address account reconciliation requests.
- Develop expanded knowledge of Investment Management Agreement with clients, understanding the terms and management fee structure.
Team Collaboration
- Develop working partnerships with internal teams including the Fund Finance team, Client Operations, Fund Operations, Legal and Compliance team etc., to coordinate client service processes and workflows.
- Embody ICONIQ's entrepreneurial spirit through active participation in cross‐functional firm initiatives in support of the business.
Documentation & Reporting
- Maintain accurate and up‐to‐date client records in CRM and other firm systems at all times, with a rigorous focus on data integrity.
- Maintain a basic knowledge of Addepar investment reporting. Help prepare review dashboard and custom family office/Trust & Estate related slides (as needed) for client meetings.
Training and Mentorship
- Serve as a mentor and technical resource to Analysts and Senior Analysts through training, answering questions, proactive knowledge sharing, and general developmental support.
Qualifications:
- Bachelor's degree with 7 to 8 years of relevant industry experience. (Family office, wealth management or other experience working with high-net-worth families is preferred.)
- Organized and detail oriented while managing and completing multiple tasks simultaneously.
- Proactively and independently solve problems while exercising sound judgment.
- Demonstrated passion in high‐touch client service.
- Strong communication skills both written and verbal.
- Fluency in Mandarin and/or Cantonese language is preferred to allow for effective communication with clients from the Greater China Region
- Excellent interpersonal skills, enthusiasm, and a strong aptitude for learning.
- Demonstrated ability to work cooperatively and collaboratively with all levels of employees to exceed clients' expectations.
