About the Role
We're looking for an exceptional Operations Lead to become a central part of our team in London. This isn't a traditional Executive Assistant role, nor is it purely operational. The remit spans executive support, fund operations, events, communications, people and the day-to-day running of the firm, with significant scope to grow as Aspire11 develops. One hour you might be coordinating an important investor meeting; the next organising an event, improving an internal process, onboarding someone new or making sure an Aspire11 announcement goes out perfectly. We're looking for someone who sees what needs doing and gets it done.
Responsibilities
- Executive & Team Support
- Act as a trusted partner to our Co-founders/Managing Partners, managing complex diaries, priorities, meetings and international travel.
- Create structure around competing priorities and protect the team's time.
- Prepare meetings, materials, agendas and follow-ups, ensuring actions don't disappear.
- Coordinate with investors, founders, advisors, partners and other senior external stakeholders.
- Anticipate problems before they become problems.
- Fund & Business Operations
- Help build the operational foundations of Aspire11 as the firm scales.
- Own and improve day-to-day processes, systems, tools and ways of working.
- Coordinate suppliers, agencies and external partners.
- Find, secure and help run Aspire11's London office.
- Take ownership of ad-hoc projects across the firm.
- Communications, Brand & Events
- Coordinate Aspire11's LinkedIn and external content calendar alongside the team and external partners.
- Maintain the Aspire11 website and coordinate improvements.
- Organise Aspire11 events and work with agencies on larger conferences and investor gatherings.
- Coordinate speaking engagements, panels and roundtables.
- Help maintain an exceptionally high standard across Aspire11's presentations, events, digital channels and external materials.
- Work closely with Aspire11's fractional CMO and external partners.
- People & Team
- Coordinate contracts, onboarding and offboarding.
- Support recruitment and candidate processes when required.
- Coordinate team initiatives, professional development and internal events.
Qualifications
We care less about your exact job title and more about where you've operated, what you've owned and the standard you've worked at. You might currently be an Operations Manager, Senior Executive Assistant, Business Manager, Chief of Staff or similar, ideally from venture capital, private equity, investment banking, consulting, professional services or a high-growth technology company.
Required Skills
- Experience supporting senior executives, Partners or leadership teams in demanding environments.
- Exceptional diary, travel, stakeholder and priority management.
- Strong operational instincts — you improve processes rather than simply follow them.
- Exposure to people operations, recruitment, onboarding, office management or events.
- Excellent written communication and obsessive attention to detail.
- Confidence working with senior investors, founders, executives and external partners.
- Strong judgement: knowing what to escalate and what to simply solve.
- Comfort with ambiguity and building things from scratch.
- The ability to move between important strategic conversations and highly practical execution without ego.
Preferred Skills
- The person people trust when there are ten moving pieces and something important needs to happen.
- You don't need a large team or lots of infrastructure around you. You create structure yourself.
- You have exceptionally high standards without overcomplicating things. You communicate clearly, follow through relentlessly and care about the smallest details.
- You're equally comfortable working behind the scenes or representing Aspire11 with senior investors, founders and external stakeholders.
- Most importantly, you enjoy being useful.
- You'll thrive here if you want a broad remit, significant responsibility and the opportunity to help build an investment firm from the ground up.
