ABOUT THE ROLE

This is a high-trust, high-ownership role for someone who can bring order, pace and judgment to a dynamic environment. The centre of gravity is executive support and calendar ownership for the Managing Partner, a trusted right-hand human, but the scope is broader than a classic EA role: operations, communications, event coordination, research, and the practical work that keeps a small, ambitious venture team moving.

We are looking for someone who is organised, discreet, proactive and warm - someone who can anticipate needs, protect time, make good calls, and quietly raise the quality of everything around them. This is primarily a desk-based role, with real scope to grow into adjacent projects and business areas that energise you.

Tin Alley Ventures is a Melbourne-based deep-tech venture fund with strong ties to the University of Melbourne ecosystem. Founded as a joint venture between the University of Melbourne and Tanarra Capital, Tin Alley backs globally ambitious companies from seed to pre-IPO, with particular strength in life sciences, physical sciences and other high-impact frontier technologies.

KEY RESPONSIBILITIES

Calendar & executive support

· Own the Managing Partner's calendar: triage inbound requests, prioritise competing demands, schedule meetings, protect time for deep work, and make the week run cleanly.

· Coordinate internal and external meetings across founders, investors, researchers, service providers and broader ecosystem partners.

· Manage travel, itineraries, room bookings, briefing notes, agendas, follow-ups and action lists so important threads keep moving.

· Bring structure and calm to a fast-moving environment by anticipating needs before they become problems.

Technology & process improvement

· Identify practical ways to streamline workflows using software, templates, automation and better operating rhythms.

· Help administer and improve internal tools, systems and lightweight project management processes.

Operations & team support

· Coordinate day-to-day office logistics, suppliers, guest registrations, social functions, catering, office purchases and general office management.

· Support basic finance administration, including expenses, reimbursements, invoice coordination and light operational tracking.

· Assist with recruitment and onboarding processes, including job postings, interview scheduling and practical team setup.

· Help the team stay organised through good documentation, clear coordination and reliable follow-through.

Communications & content development

· Prepare presentations, meeting notes, summaries, internal briefs and other materials that make information clear and usable.

· Support website, LinkedIn and other communications needs, including drafting or coordinating straightforward content updates.

· Create simple visual materials and polish documents so external-facing work feels sharp, thoughtful and on-brand.

Research & strategic support

· Conduct market mapping, stakeholder research, background preparation and competitor tracking ahead of meetings, projects and opportunities.

· Monitor and summarise relevant developments across portfolio themes, founders, partners and the broader deep-tech ecosystem.

WHAT WE ARE LOOKING FOR

· An extremely well organised operator with strong judgement, discretion and follow-through.

· Someone who is proactive, adaptable and unafraid to figure things out for the first time.

· Excellent written and verbal communication skills, with strong attention to detail.

· Comfort working with senior stakeholders, handling sensitive information and juggling multiple moving parts.

· Confidence with modern productivity tools and a willingness to learn new systems quickly.

· A team-first person who strengthens culture and embodies Tin Alley Ventures' values in how they work.

· We are looking for at least a Bachelor’s degree, preferably a higher degree in a scientific discipline we care at least as much about capability, judgement and how you show up.

NICE TO HAVE

· Experience as an assistant, secretary, office manager, operations coordinator, founder associate, chief of staff or similarly high-trust support role.

· Experience in a startup, venture capital, professional services, consulting, university or research-adjacent environment.

· Experience with event coordination, travel planning, light finance administration or communications support.

· A scientific background, or a love or science, a venture background and a love of venture
