RET Ventures, a venture capital investment firm located in Park City, UT, is searching for a highly-capable Executive Assistant to provide comprehensive executive and personal support to a Managing Director of the firm. This position is an in-office role. The ideal candidate will be experienced, confident, direct, mature, and flexible, additionally requiring exceptional judgment, discretion, resilience, and attention to detail.
Responsibilities:
Ownership for all administrative and personal support for Partner / Managing Director with secondary support for other Senior Leaders as needed
Manage complex calendars with diplomacy, discretion, and sound judgment including prioritization and recommendations
Act as the point of contact among executives, employees, clients and other external partners
Ensure Partners are properly prepared and on time for meetings
Schedule meetings and calls across multiple time zones with accuracy
Coordinate complex domestic and international travel, which may require frequent last-minute changes
Manage the team’s conference, hotel and logistics planning for major industry events
Track purchases and refunds; prepare and submit multiple monthly expense reports
Set up and manage conference room meetings, related technology, office equipment (laptops, phones, etc)
Format materials for internal and external communication (emails, presentations, reports)
Organize and maintain office and personal files
Collaborate with the administrative team to plan and execute onsite / offsite meetings (including board of director meetings), dinners, conferences, the firm’s annual summit, and other events
Coordinate with other employees to ensure effective communication, follow-up and deadline reminders
Maintain high availability with quick and accurate turnaround
Assist with managing and improving the firm’s CRM system to support fundraising efforts (tracking outreach, follow-ups and goals)
Provide personal assistant support for the executive’s family
Requirements:
5+ years as an Executive Assistant and/or Personal Assistant
Excellent tenure and proven track record supporting senior executives
Ability to manage multiple priorities simultaneously with precision
Ability to uphold strict confidentiality with certain information
Advanced proficiency in MS Office, Zoom, and expense reporting software
Experience booking complex domestic and international travel
Strong skills in Excel, Word, and PowerPoint
Outstanding organizational, time management, and communication skills
Familiarity with standard office IT equipment and applications (printers, copy, scanning, video conferencing)
Excellent verbal and written communications skills
Self-starter who works well both independently and collaboratively in a team environment
Polished, proactive professional with a can-do attitude
Demonstrates resilience and professionalism; able to work effectively with leaders under pressure
Receptive to direct and critical feedback and able to implement changes quickly
Qualifications
Own your own vehicle and have a valid driver's license
Bachelor’s degree
U.S. work authorization (Required)
