About the Role
Our CEO needs a true right hand: one person who handles both business and personal logistics, because protecting the CEO's time is what moves the company forward. This isn't a 9-to-5 desk job. It's a high-trust, high-autonomy role for someone who thrives on being the person who makes things happen.
What Really Matters
- You see around the corner. You anticipate needs before anyone asks: the scheduling conflict three weeks out, the missing signature, the follow-up everyone else forgot. You exercise judgment, not just follow instructions. You learn the CEO’s priorities, make routine decisions within agreed authority, and bring recommendations rather than simply forwarding questions. You are comfortable respectfully pushing back when a request conflicts with a more important commitment.
- You sync with the CEO's rhythm. The CEO is in meetings all day and catches up after hours. Regular evening calls are part of this role, along with occasional time-sensitive support outside planned hours. We work together to establish clear expectations for availability, response times, urgent escalation, and coverage during time off. Evenings are when a lot of the to-do list gets knocked out together, and that energizes you.
- You own your time, and you own the results. You value freedom of time and place over sitting in an office, so work from wherever life takes you. How you structure your day is up to you. What matters is that things get done and nothing falls through the cracks. Urgent requests get a quick response, routine ones get handled the same day, and you know the difference.
- You move mountains by text, and you pick up the phone when it counts. When something needs to get done, you call until you get the answer, the booking, or the person you need.
- You're AI fluent. You use AI tools daily to draft, research, summarize, and automate. Claude is our preferred AI tool, and you'll be encouraged to use it to improve workflows. You also know when not to put something into an AI tool.
- You close the loop. You own requests from initial instruction through completion, keep outstanding commitments organized, and communicate progress without being chased. When something stalls, you surface the issue early with a proposed solution.
- You're obsessive about details. Names, dates, numbers, and documents are right the first time.
- You juggle and you hand hold. You manage many threads at once and know when a busy executive needs a nudge, a checklist, or for it to simply be done.
- No task is beneath you. Coordinating with contractors or picking up a family member from the airport is part of the job, because protecting the CEO's time serves the company.
- You take accountability and have a can-do attitude. You always figure it out. You're a caring and empathetic individual who loves to go the extra mile. You take accountability when you make mistakes, fix the issue, and improve the process.

What You'll Do
Business
- Own the CEO's calendar, set up conference calls, coordinate with counterparties, manage travel, and inbox triage
- Prepare background briefs, manage follow-ups, and help the CEO follow through on relationships.
- You track promised introductions, follow-ups, and important milestones; prepare relevant context before meetings; and draft concise, thoughtful communications that reflect the CEO’s voice.
- Learn and retain the CEO’s preferences. Travel preferences, communication style, recurring household needs, and important relationships should become a documented playbook.
- Coordinate legal documents and signatures with counsel and counterparties
- Coordinate with team members to ensure projects and deadlines are on track, and to do lists are completed
- Track expenses, keep our CRM (Affinity) current, and support company events and ad hoc projects
- Assist the CEO and collaborate with the COO on ad hoc operational projects
- Manage and take notes during meetings, leverage AI tools to record, transcribe, and summarize when appropriate
- Coordinate and manage company events, including sending invites to attendees, coordinating logistics with event venues, partners, and sponsors, checking in attendees, and ensuring events run smoothly.
Personal
- Manage personal appointments and household logistics (contractors, maintenance, repairs, deliveries)
- Run errands and pickups, with occasional school runs or childcare coverage
- Handle everything with complete discretion
What Success Looks Like
The CEO starts each day prepared, with clear priorities and the right information. Business and personal commitments are coordinated. Important relationships receive timely follow-through. Outstanding tasks are visible and actively managed. Problems are anticipated, routine decisions are handled independently, and the CEO spends less time remembering, checking, and chasing.
What You Bring
Required
- Demonstrated ownership and sustained success supporting an Executive in a similar role
- Excellent written communication, especially fast, clear texts and emails
- Strong with Google Workspace and/or Microsoft Office
- Based in Austin, with a valid driver's license and reliable vehicle
- Absolute confidentiality and sound judgment
Nice to have
- Paralegal skills: preparing, organizing, and tracking contracts, NDAs, signature packets, filings, and deadlines
- Experience in venture capital or finance
- Experience with Affinity or another CRM
Compensation: $75,000 to $100,000 per year, depending on experience
