Executive Assistant
K3 Venture Partners is an MAS-licensed Singapore-based venture capital firm that invests in technology start-ups globally with high growth potential across various sectors. The Executive Assistant will perform a broad range of administrative and secretarial tasks to support the firm and the CEO. He/she plays a pivotal role in ensuring the smooth functioning of the firm and to help the CEO operate effectively and efficiently, by providing critical administrative, communication and organisational support.
Job Description – Duties and Responsibilities:
- Work directly with the CEO to support all aspects of his daily work routine.
- Maintain CEO’s calendar, including scheduling meetings, appointments, speaking engagements, business travel arrangements.
- Handle urgent requests and changes in relation to meetings with CEO.
- Serve as a liaison between CEO, Exco Team, internal and external stakeholders.
- Determine priority of matters of attention for the CEO, redirect matters / emails to staff to handle, or handle matters personally, as appropriate.
- Keep the CEO advised of time-sensitive and high-priority issues, ensuring appropriate follow up.
- Handle document management (printing, binding, courier, copying and filing).
- Assist in composing replies for CEO’s review and approval as and when required.
- Schedule and organize departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Attend meetings and take minutes / notes of discussion.
- Other additional and / or alternative duties as assigned from time to time, including supporting other team members or Executives as needed.
Job Requirements:

- The candidate must have the ability to work independently and as part of the team, and be able to exercise discretion and maintain confidentiality and sensitivity of matters.
- The candidate is expected to be very meticulous and organised, with an eye for detail.
- As the responsibilities and challenges of this role may vary from time to time, a strong sense of initiative and resourcefulness is needed to resolve issues as they arise.
- The candidate must be willing to learn and perform under pressure and meet deadlines, and have good problem-solving skills with a positive and collaborative attitude.
- Strong interpersonal and communication skills to be able to liaise with internal and external stakeholders are required.
- At least 5 years of relevant prior experience working as dedicated EA to C-suite or senior management.
- Excellent written and spoken English. Proficiency in Mandarin or other second language would be a bonus.
